Payments
The Payments page gives you a single view of every payment you have received — whether it came through Stripe, arrived as a bank transfer, or was handed to you as cash at a shoot. No more cross-referencing bank statements with invoice spreadsheets.
Summary stats
At the top of the Payments page you will find four summary cards:
| Card | What it shows |
|---|---|
| Total Collected | The sum of all collected payments across your account. |
| Online (Stripe) | The portion collected online through Stripe. |
| Manual | The portion you recorded manually (cash, bank transfer, cheque, etc.). |
| Voided | The total value of payments that have been voided. |
These cards give you an instant pulse check on your finances without opening a spreadsheet.
Viewing payments
The payment list shows every transaction with the following details:
- Date — when the payment was recorded.
- Client — who paid.
- Invoice — which invoice the payment is attached to.
- Source — where the money was captured: Invoice, or the booking reference when the row reflects a deposit that was recorded on a booking and mirrored onto its invoice so the invoice balance stays right. The CSV export has the same column.
- Amount — how much was paid.
- Method — how they paid (Stripe, cash, bank transfer, cheque, wire, or other).
- Channel — whether the payment was online (Stripe) or manual (recorded by you).
- Status — Succeeded, Pending, Failed, Refunded, or Voided.
Click any payment row to see the full details, including any proof-of-payment file that was uploaded.
Filters
Use the filter controls to narrow down the payment list:
| Filter | Options |
|---|---|
| Date range | Set a start and end date to see payments within a specific period. |
| Channel | Show only online payments, only manual payments, or both. |
| Method | Filter by Stripe, cash, bank transfer, cheque, wire, or other. |
| Status | Filter by Succeeded, Pending, Failed, Refunded, or Voided. |
Combine multiple filters to get exactly the view you need. For example, show all cash payments in the last 90 days.
Tip: At tax time, use the date range filter set to your financial year and export the results as a CSV. It gives your accountant everything they need in one file.
Recording manual payments
When a client pays you outside of Stripe (cash at a shoot, direct bank deposit, cheque in the mail), you can record it manually.
From the Payments page
- Click Record Payment.
- Select the invoice the payment is for.
- Choose the payment method:
- Cash — paid in person.
- Bank transfer — direct deposit or EFT.
- Cheque — posted or handed to you.
- Wire — international wire transfer.
- Other — any other method. You can add a custom label to describe it.
- Enter the amount.
- Optionally upload proof of payment — a photo, screenshot, or PDF (up to 10 MB). This is stored securely and attached to the payment record.
- Click Save.
From an invoice
You can also record payments directly from the invoice detail page. Open the invoice, click Record Payment, and follow the same steps. See Invoices for details.
Payment types
When recording a payment, the amount determines the type:
- Full payment — the amount matches the invoice balance. The invoice moves to "Paid".
- Partial payment — the amount is less than the balance. The invoice moves to "Partially Paid" and shows the remaining balance.
- Deposit — functionally the same as a partial payment, but you can label it as a deposit for your records.
Tip: For wedding bookings, a common workflow is: send an invoice, record the deposit when received, then record the final balance after delivery. The invoice tracks both payments and shows the remaining balance at each step.
Stripe integration
If you have connected Stripe in your account settings, clients can pay invoices online with a credit or debit card.
- When a client clicks "Pay" on an invoice, they are taken to a secure Stripe checkout page.
- Once payment succeeds, Seleckt is notified automatically via webhook.
- The payment appears in your Payments list with the method set to "Stripe" and the channel set to "Online".
- The associated invoice status updates to "Paid" (or "Partially Paid" if it was a partial payment).
You do not need to do anything manually for Stripe payments — they flow through automatically.
Voiding a payment
If you recorded a manual payment by mistake, you can void it rather than delete it. Voiding preserves the audit trail while reversing the effect on the invoice balance.
- Open the payment you want to void.
- Click Void Payment.
- Enter a reason for voiding (required), then confirm the action.
The payment status changes to "Voided", and the associated invoice balance is recalculated. Voided payments remain visible in your payment history (marked as voided) for record-keeping.
Tip: Only manual payments can be voided. Stripe payments are handled through Stripe's own refund process.
Note: A Booking deposit row on an invoice is a credit, not a payment taken on that invoice — it reflects money your client paid on the booking. It has no Void or Refund action, because the money is not held here: refund it on the booking, then use the Update banner on the booking page to bring the invoice's credit in line. Cancelling the invoice releases the credit so the next invoice can use it.
Exporting payments
Export your payment data as a CSV file for bookkeeping, tax filing, or reconciliation.
- Apply any filters you need (date range, channel, method, status).
- Click Export CSV.
- The downloaded file includes ten columns: Date, Invoice, Client, Channel, Method, Amount, Currency, Status, Reference No, and Note.
The export respects your active filters, so you get exactly the data you asked for.
