Manage your client relationships, contacts, and communications

Clients

The Clients section is your central directory for everyone you work with. You can add clients manually, import them in bulk, track their status, organise them with tags, and see a full history of every interaction.


Adding a Client Manually

  1. Go to Clients in the sidebar and click Add Client.
  2. Fill in the client details:
    • Name (required)
    • Email (optional but recommended) -- needed to send invites, invoices, and gallery links
    • Phone (optional)
  3. Click Save.

The client is added with a status of Added. They will not have portal access until you send them an invitation.


Importing Clients from CSV

If you have a list of clients in a spreadsheet, you can import them all at once:

  1. Go to Clients and click Import.
  2. Upload your CSV file. The file should include columns for name and email at a minimum.
  3. Review the preview to make sure everything looks right.
  4. Confirm the import.

Inviting Clients

To give a client access to their Client Portal:

  1. Open the client's profile or select them from the list.
  2. Click Send Invitation.
  3. The client receives an email with a link to set up their portal account.

You can also send invitations in bulk -- see Bulk Actions below.


Client Statuses

Status What It Means
Added The client exists in your directory but has not been invited.
Invited An invitation email has been sent, but the client has not yet accepted.
Active The client has accepted the invitation and has portal access.

Tags

Tags let you organise clients into groups that make sense for your business. Some ideas:

  • Wedding, Portrait, Commercial -- by session type
  • 2025, 2026 -- by year
  • VIP, Referral -- by relationship

Adding Tags

  1. Open a client's profile.
  2. In the Tags section, type a tag name and press Enter.
  3. If the tag already exists, it appears in the suggestions. If not, a new tag is created.

You can also add tags in bulk -- see Bulk Actions below.

Tip: Keep your tag names consistent. "wedding" and "Wedding" would be treated as different tags, so settle on a convention early.


Bulk Actions

Select multiple clients from the list using the checkboxes, then choose from these bulk actions:

Action What It Does
Add Tags Apply one or more tags to all selected clients.
Remove Tags Remove specific tags from all selected clients.
Change Status Update the status of selected clients.
Send Invites Send portal invitations to selected clients who have not been invited yet.
Export CSV Download a CSV file of the selected clients.
Delete Permanently remove selected clients.

Tip: Use tags and bulk actions together to manage large groups efficiently. For example, tag all clients from a wedding fair, then send invitations to the whole group at once.


Client Detail Page

Click on any client to open their detail page. Here you will find:

Activity Timeline

A chronological log of every interaction with this client -- galleries shared, invoices sent, contracts signed, selections made, and more. This is the single best place to get a full picture of your relationship with a client.

Contact Information

Edit the client's name, email, and phone number at any time.

Billing and Shipping Addresses

Store billing and shipping addresses for the client. These can be used when generating invoices.

Currency and Tax Defaults

Set a default currency and tax rate for each client. When you create a new invoice for this client, these defaults are pre-filled so you do not have to set them every time.

Notes

A free-text field where you can jot down anything useful -- shoot preferences, location details, special requests, or follow-up reminders. Only you can see these notes; they are not visible to the client.


Deleting Clients

You can delete a client from their profile page or through bulk actions. However, there is one important restriction:

Clients who have paid invoices cannot be deleted. This protects your financial records. If you no longer work with a client but they have payment history, you can remove their tags and leave them in your directory as an inactive record.
